Project Salus (May 2020)

Salus was the Roman goddess for Safety and Wellbeing, and is the name chosen for UNSW's SafeSys WHS Replacement Project.
While COVID-19 meant it took more time than we hoped for project approvals, we are very pleased to confirm that the WHS Replacement Project, to be known as Project Salus, was approved by the UNSW Management Board on 29 April. Thank you to everyone who has contributed, and for your patience.
With Management Board approval we can proceed with the chosen vendor, Arventa, to replace SafeSys. We now have the funds, the right team and, we believe, the best technology to ensure an even safer research, workplace and campus learning environment for all at UNSW. 
The technology is known as WHS Monitor, cloud-based Work Health and Safety compliance management software that will enable UNSW teams to simply and effectively manage our Work Health and Safety obligations.
Arventa have already started to work with UNSW on detailed implementation plans and we look forward to involving you and each of your Faculties and Divisions to ensure we capture requirements and support you with a smooth transition.

Note: As we reported last month, we have been working with IT to resolve various performance issues that have been experienced with the SafeSys solution, impacting the speed and efficient use of the platform.

While the majority of performance issues have now been addressed, IT are monitoring the solution and will continue to investigate options to keep the platform functioning in the short to medium term. On Friday 3 May, we conducted a risk workshop with key SafeSys users plus project team members to understand the risks if the current SafeSys solution is no longer functional. Out of this workshop, we documented several key actions to mitigate these current risks, and will continue to investigate and implement fixes to ensure the system is operational in the short to medium term.

Working in parallel, we are looking at longer term solutions that can support our requirements and the anticipated future growth.  A project team has been formed to investigate options for a strategic solution to replace SafeSys. A Business Case will be drafted and will outline short, medium and long term options. We will engage a number of our SafeSys user community to capture your requirements to ensure we are well informed in planning the next steps and our ideal direction moving forward.

Once our Business Case has been approved, we will engage the wider SafeSys user community to be involved in further planning, development, testing and deployment of the new strategic solution.

There has been some concern from parts of the user group that they may lose data.  UNSW IT have confirmed in a meeting last week that your data will not be lost if the SafeSys solution was to no longer function. 

We ask you to please be patient with us over the coming weeks and months as we actively manage the current SafeSys solution issues, and move towards a longer term strategic solution.

SafeSys is a new online health and safety management system for forms, equipment and activities/fieldwork. The word documents HS017 Risk Management Form, HS026 Safe Work Procedure Form, HS030 Inspection Testing and Monitoring Schedule Form and HS653 Hazard & Risk Registe will instead be created within SafeSys

Key features of SafeSys are:

  • Everyone with a zID will have access to SafeSys.
  • Everyone with access can create Risk Management Forms and Safe Work Procedures electronically.
  • Everyone with access can view Risk Management Forms and Safe Work Procedures created in SafeSys from all faculties and business units across the university.
  • Supervisors can electronically approve Risk Management Forms or Safe Work Procedures, removing the need for paper signature.
  • Workers and students can electronically declare that they have read and understood safety documents, removing the need for paper signatures.
  • Local area equipment and maintenance can be tracked with automatic reminders of when maintenance is due.
  • It allows easy ability to monitor safety compliance within schools/faculties.
  • It allows the movement of paper-based school processes into an electronic system.
  • There is automatic syncing of IT Active Directory of zID's
  • There is ongoing support from UNSW Central IT
  • It has a modern, easy to use interface

Access to SafeSys:

If you are using a SOE-computer it will automatically log-in, if you are using a non-SOE computer please use “ADUNSW\zXXXXXXXX” your usual zID and zPass
SafeSys is being built in stages with a phased release over 2014 and 2015.

Only some schools in UNSW currently have access to SafeSys, see this list of all Schools with access and the School Administrators who can assist you. All staff and students of these schools automatically get access once they are set-up with a zID at UNSW. Please do not request access to the site if your area is not listed; low-risk areas not in the phase 1 release plan will be released to later in 2015.
